Frequently Asked Questions
Abstract acceptance? International reviewers will evaluate the abstracts and the notification on acceptance will be send to corresponding authors by April 1, 2012.
Accommodation? Accomodation costs are not included in the conference registration fee. Participants are responsible for making their own accomodation arrangements. The organizers recommend booking a hotel in Opatija and the list of hotels may be found here.
Cancellation policy? Registered participants who cannot attend the conference will be refunded with 70% of the conference fee minus 20€ handling fee if the cancellation is submitted by July 1, 2012. After July 1 and before September 1, 2012 the conference fee will be refunded with 50% minus 20€ handling fee. No refunds are possible after September 1, 2012. However, substitutions are possible at any time before start of the conference. If a participant is to be substituted, please contact the EuroSun2012 conference office. Substitutions are not possible duirng the conference. Changes of number of days attending the conference is not possible during the conference. Cancellations of registration have to be made in writing and sent to the EuroSun2012 conference office in Rijeka, Vukovarska 58, HR-51000 Rijeka, Croatia or by e-mail on firstname.lastname@example.org.
Catering? Daily lunches, coffee breaks and refreshments are included in the conference fee for all participants. Happy hour bars will be organised at the conference site and all participants are welcomed to join.
Conference dinner? The conference dinner will take place on Wednesday, September 19, 2012. The conference fee does not include the conference dinner. Please register the conference dinner on the Conference Management System or on-site at the registration desk.
Currency? The national currency in Croatia is the Kuna and the exchange rate is 1 € = 7.5 kuna. Check here for possible changes in the currency exchange rate.
Data protection? The participants' personal data will be held on a database. Credit card information will NOT be stored in this database, but a secure connection between the Conference Management System and the Bank is established. The e-mail addresses will be used to circulate the EuroSun2012 newsletter, last minute details and announcements. First and last name, affiliation and country of all participants will be published on the list of participants and in the password-secured area of the Conference Management System. The data of the participants will not be forwarded to parties not related to the EuroSun2012 conference.
Early-bird registration? Early-bird registration ends on July 1, 2012. Online registration are possible till September 7, 2012 through the Conference Management System using credit card or bank transfer. After September 7, 2012, registration are made directly at the conference desk and at the normal registration fees, cash only.
Force majeure? If the conference cannot be held or is postponed due to events beyond organizers control (including but not limited to strikes, regulations or orders of governmental authorities, civil disorders, acts of terrorism, acts of war, acts of God) or due to events which are not attributable to wrongful intent or gross negligence of the conference organizers, the conference organizers cannot be held responsible for any participants' damages or costs. Under these circumstances the conference organizers reserve the right to retain the registration fees as contribution to all incurred administrative and organization costs.
Insurance and liability? The conference organizers cannot accept libility for personal injury, loss or damage to belongings of conference participants, either during or as a result of the conference. Plese check the validity of your insurance.
Language? The official language of the EuroSun2012 conference is English.
Letter of invitation? Participants have to register and pay the registration fee before requesting an official Letter of Invitation. Requests should be sent on time and by e-mail to email@example.com. Please note that the EuroSun2012 conference organizers will not be able to contact or intervene with any Embassy or Consulate office on behalf of a participant. The Letter of Invitation does not financially obligate the conference organizers in any way. All expenses incurred in relation to the conference are the sole responsibility of the participant.
Name badge? All participants must check in on arrival at the conference desk in order to receive their name badge. The name badge is required for admittance to all conference sessions and events. Each participant is asked to wear and clearly display the name badge at all times during the conference and the included social events in order to gain access. The name badge cointains first name, last name and affiliation of the participant.
Opening ceremony? The opening ceremony will start at 10:00 on Tuesday, September 18, 2012, in the Ivan Zajc Theatre in Rijeka. See Rijeka Map.
Oral presentations? The duration of regular oral presentations is 15 minutes including 3 minutes for discussion. Please make sure to respect strictly the time limit. For orientation, the length of the presentation is 1 slide per minute. Only presentations in .ppt, .pptx or .pdf will be accepted. Please use MS Office or OpenOffice for creating your presentations. Apple Keynote format cannot be accepted. If creating a presentation in Apple .ppt please test it on a Windows PC to ensure that the display is correct. Avoid external links in your presentation as the presentation computers do not have an internet connection. All pictures and graphs must be embedded without links. Video films should be checked when uploading the presentation. Oral presentations should be uploaded on the Conference Management System before the conference start. At latest presentations should be uploaded at the conference desk a day befor the presentation. Please meet the session chair or co-chair at least 10 minutes prior to the beginning of your session. If uploading the presentation at the conference desk, please make sure the memory stick is virus-free.
Passport and Visa requirements? Participants from the EU will need a valid ID card or passport to travel to Croatia. Participants from outside the EU should check on the internet or contact the nearest Croatian embassy or consulate to find out whether a Visa is needed or not. In case a Visa is required, the Visa is sole responsibility of the participants.
Poster layout and mounting? Participants are free to design and layout the posters as they wish. The only requirements refer to the maximum size of the poster: DIN A0 (max width 84 cm/ 33 inches and max height 119 cm and 47 inches). The font size should be readable from a distance of 1 m. The EuroSun logo can be found in the Download area. It is not possible to print the posters at the conference site. Posters should be mounted at the start of the conference and removed at the end of the conference. Push-pins for poster mounting will be provided. Once the conference programme is announced, each poster will be addressed to the corresponding poster areas. In the poster area, poster walls with author's name, poster title and number will be awaiting.
Proceedings? The conference proceedings will be delivered to participants on a data medium.
Programme? The EuroSun2012 conference programme, with details on the scietific and social programme, will be published on the EuroSun2012 web page. A printed copy of the programme will be put in the conference bags for participants.
Public transportation? Information about public transportation in Rijeka and Opatija as well as between Rijeka and Opatija will be available on the EuroSun2012 web page. The costs of public transportations for participants will be included in the conference registration fee.
Registration? Online registration are possible till September 7, 2012 through the Conference Management System using credit card or bank transfer. After September 7, 2012, registration are made directly at the conference desk and at the normal registration fees, cash only. Check the EuroSun2012 web page for registration fee categories. As the participants capacity is limited, registrations will be handled on a first come, first serve basis. If the maximum number of participants is reached, the conference organizers reserve the right to refuse any further registration. Conference registration will be confirmed only when the registration form is received and the payment is processed by the EuroSun2012 conference office.
Students? Students enrolled at an approved university at the time of the conference will receive the reduced students' registration fee. A signed and stamped proof of status issued by the student's university or faculty is required. Students are asked to send their proof of status on firstname.lastname@example.org during the registration. In any case, students must present their original proof of status on the registration desk in order to receive the name badge.
